2. Information We Collect

We collect the following categories of information:

Contact information you provide when you sign up or fill out a homeowner questionnaire — name, mailing address, email, and phone number.
Property information — the address, parcel ID, assessed value, characteristics (square footage, lot size, bedrooms/baths), purchase history, photos, and other details needed to evaluate and file your tax grievance.
Authorization records — the signed authorization form you provide allowing us to represent you before assessing units, plus the time, IP address, and user agent of the signing event for legal evidence.
Communications — emails and messages you exchange with us.
Payment information — when we invoice you, your billing details and payment status are processed by our accounting provider (Intuit / QuickBooks Online); we do not store full payment card numbers on our servers.
Service data — basic logs (IP address, browser type, pages visited) generated when you use our Services.

3. How We Use Your Information

To evaluate, prepare, and file property tax grievances and appeals on your behalf.
To draft and submit RP-524 forms, SCAR petitions, appraisals, stipulations, and related legal documents.
To communicate with you about your case and send invoices and reminders, including by email, phone, and text message (SMS) where you have provided your mobile number.
To comply with applicable law and respond to legal process.
To maintain, secure, and improve the Services.

4. How We Share Your Information

We share information only in the following limited circumstances:

Government bodies — Boards of Assessment Review, town/village assessors, county Supreme Courts (SCAR), and the New York State Office of Real Property Tax Services, as required to file and prosecute your appeal.
Service providers we use to operate our business: Intuit / QuickBooks Online (invoicing and payments), Resend (transactional email delivery), Twilio (transactional text messaging delivery), Replit (application hosting), and parcel/MLS data providers (CoreLogic, Regrid, OneKey MLS) used to look up public property records and comparable sales. These providers are bound by their own privacy and security obligations.
Professional advisors — outside counsel, appraisers, and accountants where reasonably necessary.
Legal compliance — when required by law, subpoena, court order, or to protect rights, safety, or property.
Successors — in connection with a merger, acquisition, or sale of business assets.

We do not sell your personal information, and we do not share it with advertising networks.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors who provide support services to us, such as customer service, is permitted. All other use-case categories exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties. We also do not share or sell your mobile phone number or your SMS opt-in consent with any third party for that party's own marketing purposes; text-messaging originator opt-in data is shared only with our messaging provider (Twilio) strictly to deliver the messages you have agreed to receive. We do not share mobile opt-in data or consent with lead generators, aggregators, third parties, or affiliates for marketing or promotional purposes.

5. Data Retention

We retain client and case records for as long as needed to provide the Services and to comply with our professional, tax, and legal record-keeping obligations (typically at least seven years after a matter closes).

6. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect your information, including access controls, encrypted transport (HTTPS), antivirus scanning of uploaded documents, and secure cloud storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices

You may request a copy of the personal information we hold about you, ask us to correct or delete it, or withdraw your authorization at any time by emailing info@aaaPropertyTaxAppeal.com. You may stop receiving text messages at any time by replying STOP to any message from us. Please note that withdrawing your authorization may end our ability to continue prosecuting an active appeal, and we may need to retain certain records for legal or accounting compliance.

8. Children

The Services are intended for adult property owners. We do not knowingly collect information from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Effective" date above will reflect the most recent revision.
